How Much “You” Do You Want in Your Venue?

Charlotte Trolley Congratulations – you’re getting married! Planning your special day is a very exciting time, and can also be (if you haven’t already noticed) a somewhat stressful time. If
you’re currently on your quest for your ceremony and/or reception venue, chances are good that you’re just getting started with all of your wedding plans, too. Two of the most important choices you will make take place in the beginning of your planning process: the selection of your wedding
date and your ceremony/reception venue(s). After you
have selected these, you will probably find that the rest of your plans can come much more easily. To help ease your stress, this section includes some helpful hints for you as you search for, find and then book your perfect venue…


First off, there is no “perfect venue.” I know, I know, I just said you could find and book your perfect venue...but it’s important to know that not all venues are created equal. Every venue has its own creature comforts, pricing structures, rules and guidelines; and there is no set standard across the board to make comparisons between them any easier. With that said, as with love, although not perfect, you can find the venue that is the perfect one for you. You just have to know what you’re looking for.
So, how much “you” do you want in your venue? What I mean by this is how much of your own distinct style do you wish to showcase in your space? With each venue you consider, there are different degrees of customization.


Some venues are more “event ready” than others. In this case, you could simply pick out your linens and centerpieces and you’re almost done (tip: never underestimate the impact of your linen choices - it’s truly amazing how they enhance your event space, even in a more “event ready” venue). These spaces often already have set color schemes, wall hangings such as decorative sconces or art work, and color coordinating carpet, chairs and accenting furniture. Examples of these spaces may include hotel ballrooms, country clubs and historic homes.


Other venues offer more flexibility in room set up, colors and decorations. These spaces often have muted wall colors, minimal décor, and little furniture, if any. You would be able to choose from a wider color palate, as you typically wouldn’t have a set color scheme to work within. Examples of these include outdoor spaces and renovated or refurbished venues that weren’t always used for weddings (such as the Dairy Barn in Fort Mill, SC – please excuse my own shameless plug!).


There are pros and cons to each type of venue. A more “event ready” venue can reflect less originality as you’re working within an existing color scheme already predetermined by the venue, but can be a more convenient option since they require less decisions for the design. These venues are perfect for brides who prefer a more traditional setting and to have the décor and atmosphere already in place. A more customizable venue requires more decision making, but also can lead to much more originality and creativity, too. These venues are ideal for brides who desire more freedom for creativity with the design, customizable atmosphere and themes. You just need to decide which reflects your own style and how much of your own personality you want to inject into the space.

Ask A Venue:
Here are a few of the best questions to ask your venue when considering it for your special day:

·         What is the capacity?
Looks can be deceiving, and it is really easy to overestimate a venue’s capacity. The last thing you want to do is book a venue with a capacity of up to 150 and then have a guest list exceeding 200. No one likes feeling all dressed up with no place to go…to get some air!


·         What is the cancellation policy?
Things happen, situations change, and if you need to reschedule your date or change your plans altogether after you’ve selected and booked a date with a venue, it’s best to know up front what the rules are for that “just in case” scenario.


·         What is the deposit?
Most venues charge a deposit and require it in order to hold a date. And most deposits are accepted on a first come, first serve basis. Before you leave a deposit, also ask about all of the rules and stipulations, such as how it works, is it a part of or in addition to the rental fee, is it refundable, is there a deadline to pay the balance, etc. You should really ask your other vendors these same questions, too, whenever deposits are involved including your caterer, DJ/Band, photographer, and the list goes on.


·         Ask away!
As wedding professionals, we work with weddings all the time, and we know you have questions. You should never ever hesitate to ask questions of your venue. There is no need to ever feel awkward, embarrassed or uncomfortable in asking anything. It’s better to address any uncertainties early on in your planning process than to be surprised by the unexpected later.
